SnTT: Mail File Size Management through Folder Management

Friday 10th November, 2006
Recently I had a customer discover something and at first I thought it was file corruption but after looking into it I found out the product is working as designed.  I always knew each folder or view in a database has a backend index that is used when displaying the contents of the folder or view.  The more folders or views and especially the more complex the view or folder the larger the index.

Well, I didn't realize that when using my 7.0.2 Notes Client and mail template, every folder adds approximately 100KB to the size of the database.  In short, for every 10 folders in my mail file, I'm taking up a little over 1 Meg of space.  Now, can you image the impact if a user creates 200 to 500 folders in their mail file?  Well, approximately 500 folders will add over 50 Megs of space to the mail file even if there are no documents in your mailfile.

From an Administrators perspective, if you have users who love to create a new folder in their mail files to store every individual piece of mail, this could take up a lot of hard drive space on your server.

From an End User's perspective who has a mail quota assigned, you may want to take this into account when you reach your quota warning or threshold and need to start cleaning out old email.  Take a look at old folders as well.
